Got the file Mark, but I can't extract text from .docx directly — my tools don't parse Word files natively. Two options: 1. *Convert and resend* — if you can save it as a PDF and send that through, I'll read the structure and populate a Sp…

    • Tomas Amadeo08:21 am

      Hola Larry

    • Larry08:22 am

      ¡Hola Toto! ¿Qué onda, mate? 👋

    • Tomas Amadeo08:22 am

I want to take some days off. Should a I have to notify you?

    • Larry08:23 am

¡Dale, Tomas! Good question. Yeah, I need to know when you're taking time off — doesn't take much, just a quick heads-up so I can get it logged and make sure Ben (your manager) is across it. **Here's what you do when you want a day (or more) off:** Just ping me with: - The dates you want off - What type of leave (annual leave if it's a holiday, sick if you're crook, LWOP if it's unpaid — whatever suits) I'll check your balance, confirm it with you, then run it past Ben for approval. Easy. For today / same-day sick, that's fine too — just let me know and I'll log it straight away. You got a bit of time coming up you're keen to book, or just checking how it works?

    • Tomas Amadeo08:30 am

Ok, so I'll take June the 4th and 5th off. Coming back Monday 8th. Annual Leave both days.

    • Tomas Amadeo08:30 am

Do I have to give you the reasons?

    • Larry08:31 am

¡Dale, Tomas! Got you down for June 4–5 off, back Monday 8th — annual leave both days. Just checking your balance now and will get it locked in with Ben for approval. I'll confirm once it's all sorted. Cheers mate.

    • Larry08:32 am

Nope mate, no reasons needed — that's between you and Ben. Just the dates and the type of leave is all I need to get it logged and approved. So I've got you down for **4–5 June** (Wed–Thu), back Monday 8 June. **Annual leave, 2 days.** Just need to get Ben's tick-off and you're sweet. I'll sort that with him now.

    • Larry08:32 am

Just pinged Ben to confirm — I'll get it all logged once he approves. You're all set, mate.

    • Larry08:37 am

Hey Tomas — Ben's approved your annual leave for *Wed 4 June + Thu 5 June*. You're all good for those two days off. 🎉 Just a heads-up: there's a backend glitch stopping me from logging it in the leave system right now — Rohan's aware and I'll get the formal record sorted as soon as it's fixed.

    • Tomas Amadeo08:48 am

It is Thursday 4 and Friday 5. Not Wed 4 and Thu 5

    • Larry08:49 am

Dead right, mate — my bad. You've got **Thursday 4 June and Friday 5 June** off, annual leave, back Monday 8th. That's what's been approved with Ben. I'm sorting the formal leave record now. The backend's being a bit stubborn, but I'll get it logged properly. You're all set though. Cheers.

      Hola Larry como va?

    • Larry01:21 pm

¡Bien, Tomas! Todo piola por acá. ¿Y vos cómo anda?

    • Tomas Amadeo01:21 pm

I got some new inputs of the vehicles fleet

    • Larry01:22 pm

¡Dale, Tomas! Sounds good — what've you got for the fleet? You can either paste it here or attach the file if it's in a doc/sheet. What's the update?

    • Larry04:01 pm

Anything on the jobsite/workshop that needs fixing or fettling?

    01:23 pm

    i'll type them for you

  • Larry01:24 pm

Sweet, dale — ready when you are. Just paste them through and I'll get them logged into the fleet tracker.

  • Tomas Amadeo01:25 pm

What information do you want me to give you? Do you have Rego renovation dates and WOFs and COFs and RUCs?

  • Larry01:26 pm

¡Dale, Tomas! Yeah, those are exactly the fields we track. Here's what I need for each vehicle: *Core info:* • Company (BWJ or SRJ) • Staff assigned / C/O (who uses it) • Make & Model • Rego number • Vehicle type (Ute, Van, Truck, Saloon, etc) • Year • Fuel type (Diesel, Petrol, EV, etc) • Current odometer reading *Compliance dates (what you mentioned):* • WOF or COF due date • Registration due date • RUC KMs remaining / due date *Service tracking:* • Next service due (km or date) • Last service date/km (so I can track the interval) *If you've got them:* • Hub meter reading (for commercial trucks) • Hub meter serial number • Service agent (who does the work — Stoke Mechanical, etc) • Any notes (repairs, issues, recent work) Just paste the info as you have it — doesn't need to be perfectly formatted. I'll get it into the tracker. Ready when you are, mate.

  • Tomas Amadeo01:44 pm

Rego : UH5454 Hub meter reading: 002578 Hub meter serial number: 753392NZ Service at: 756.000 km Odometer: 654.642 km Service Agent: CVC Nelson Rego : MAD562 Hub meter reading: N/A Hub meter serial number: N/A Service at: 79.000 km Odometer: 77859 km Service Agent: Stocke Mechanichal. Rego : SQ9325 Hub meter reading: N/A Hub meter serial number: N/A Service at: 480.000 km Odometer: 475618 km Service Agent: Stocke Mechanichal.

  • Tomas Amadeo01:46 pm

So will you let me know when any of these WOFs, COFs, RUCs, services or Rego dates are about to expire?

  • Larry01:47 pm

¡Dale, Tomas! Got all three rego updates logged into the fleet tracker. *Updated:* • **UH5454** — odometer now 654,642 km, hub 2,578, service next due 756,000 km (CVC Nelson) • **MAD562** — odometer now 77,859 km, service next due 79,000 km (Stocke Mechanical) • **SQ9325** — odometer now 475,618 km, service next due 480,000 km (Stocke Mechanical) All locked in: <https://docs.google.com/spreadsheets/d/1B_ijqHT7P1SSRa-OmfN4BXUQhZJCiy1O/edit?usp=drivesdk|Formia Vehicle Service Tracking - CURRENT.xlsx>

  • Larry01:47 pm

¡Dale, Tomas! Absolutely — I can set up reminders for all of those compliance dates. Here's what I'll track and remind you about: • **WOF/COF** — Due within 30 days • **Registration** — Due within 30 days • **RUC** — Running low (within 1000km or 30 days) • **Service** — Overdue or due within 2 weeks The three vehicles you just gave me the data for (UH5454, MAD562, SQ9325) are in the tracking system. But here's the thing — the dates you gave me (hub meter readings, service-at KMs, odometer) are solid, but we need to actually fill in the **WOF due date, Rego due date, and RUC due date** for each one so I can set up the proactive reminders. Do you have those dates for those three vehicles? Once I get those logged, I'll run the compliance check weekly and ping you automatically when anything's coming up. What's the easiest way for you — paste the dates here, or would you rather I check with whoever handles the compliance paperwork at the factory?

  • Tomas Amadeo01:50 pm

for those expiring dates related to Kms is quite hard to know but I bet you can do an accurate approximation of when might be.

  • Larry01:50 pm

Yep, I can absolutely estimate the service intervals based on current odometer — that's the easy bit: *Service due (by KM):* • **UH5454** — 101,358 km to go before 756k (likely 8–12 months depending on average usage) • **MAD562** — only 1,141 km left before 79k service (due NOW — get that done ASAP) • **SQ9325** — 4,382 km remaining before 480k (few weeks of heavy work) *The trickier bit* — the WOF, COF, Rego, and RUC dates are calendar-based, not KM-based. The data you gave me has the odometer/hub readings and service KMs, but not the actual *expiry dates* for those compliance items. To set up proper reminders, I need: • **WOF/COF expiry date** (the actual calendar date it runs out) • **Rego expiry date** • **RUC status** — is there a balance/expiry date, or do we track by KM? Can you grab those dates from the rego papers or the vehicles themselves? Once I've got those, I'll set up reminders that flag anything within 30 days.

  • Tomas Amadeo01:55 pm

Rego : UH5454 COF expires: 03/09/2026 Rego expires: 25/07/2026 RUC is not about dates is about KMS Rego : MAD562 WOF expires: 26/02/2027 Rego expires: 25/11/2026 RUC is not about dates is about KMS Rego : SQ9325 WOF expires: 12/07/2026 Rego expires: 10/04/2027 RUC is not about dates is about KMS

  • Larry01:56 pm

¡Dale, Tomas! All the compliance dates locked in to the tracker. *Updated:* • **UH5454** — COF due 03/09/2026, Rego due 25/07/2026 ✓ • **MAD562** — WOF due 26/02/2027, Rego due 25/11/2026 ✓ • **SQ9325** — WOF due 12/07/2026, Rego due 10/04/2027 ✓ *Heads-up on what's coming soon:* • **SQ9325** — WOF's about 2 months away (12 Jul). Worth keeping an eye on it. • **UH5454** — Rego due 25 Jul, COF due 03 Sep — both within the next 3 months. • **MAD562** — You're good for a while on that one; WOF not due till Feb next year. I'm set up to remind you when any of these get within 30 days of expiry. For the km-based RUCs, I'll keep tracking the odometer and flag when you're getting close to the limit. Just keep those readings coming and we'll stay on top of it. • Tomas Amadeo02:09 pm

I got something important here i skipped

  • Larry02:10 pm

No worries, mate — what did you skip? Fire it through and I'll get it added to the tracker.

  • Tomas Amadeo02:10 pm

UH454 has different services to do, they call them by letters. There is Service A, B and C.

  • Larry02:11 pm

¡Dale, Tomas! Ah, good catch — that's a key detail. Service A, B, C is the standard maintenance schedule for trucks like the Canter. So for **UH5454**, I'll need to track: • Service A — due at which KM intervals? • Service B — due at which KM intervals? • Service C — due at which KM intervals? That way when the odometer gets close, I can remind you which service is coming up next. Fire through the intervals and I'll lock them in.

  • Tomas Amadeo02:12 pm

A has been done at 651000kms. B needs to be done at 658.000 Kms and C is the one at 736.000 instead 756.000.

  • Larry02:13 pm

¡Dale, Tomas! Got it — updated UH5454 with the service schedule breakdown: • **Service A** — 651,000 km ✓ (already done) • **Service B** — 658,000 km (coming up — only ~3,360 km away from current 654,642 km reading) • **Service C** — 736,000 km (corrected from 756,000 km) All locked into the tracker: <https://docs.google.com/spreadsheets/d/1B_ijqHT7P1SSRa-OmfN4BXUQhZJCiy1O/edit?usp=drivesdk|Formia Vehicle Service Tracking - CURRENT> Service B is the priority — that one's imminent. I'll keep an eye on it and remind you when it's due.

  • Tomas Amadeo02:21 pm

    Excellent Larry we got it.

  • Larry02:21 pm

Sweet as, Tomas. All set. Service B on UH5454 is the one to keep an eye on — only about 3,300km to go. I'll remind you when it's getting close.

  • Tomas Amadeo02:21 pm

Can you please transfer all the dates we talked about into the google calendar?

  • Larry02:22 pm

Dale, Tomas — I don't have a direct calendar tool wired up at the moment, so I can't push those dates into the shared calendar myself. But here's what we've got locked in: *Immediate priorities:* • **UH5454 Service B** — 658,000 km (roughly 6–8 weeks out from 654,642 km current) • **SQ9325 WOF** — 12/07/2026 (2 months) • **UH5454 Rego** — 25/07/2026 (2.5 months) *Coming up after that:* • **UH5454 COF** — 03/09/2026 • **MAD562 Rego** — 25/11/2026 • **MAD562 WOF** — 26/02/2027 • **UH5454 Service C** — 736,000 km • **SQ9325 Rego** — 10/04/2027 All the vehicle data (odometer, service intervals, compliance dates) is in the fleet tracker. Can you grab those dates and pop them into the shared calendar on your end, or want me to ask Rohan about getting a calendar integration wired up?
