Trigger for phrases like 'tool allowance', 'how much tool money', 'my tools balance', 'tool spend', 'tool account', or when someone asks about buying tools for work." --- # Formia Group — Tool Allowance Self-Service This skill lets BWJ staff check their tool allowance balance via DM to Larry, and gives management a full view of all balances. ## Data Source - **Tool allowance spreadsheet**: `hr/misc/tool-allowance/Tool Allowance Balances.xlsx` Read this spreadsheet to get current balances for each staff member. ## How It Works ### Staff Checking Their Own Balance When a staff member DMs Larry: - "Hey Larry, how much tool allowance have I got?" - "What's my tool balance?" - "Can I buy a [tool]? How much do I have left?" **Larry responds:** > You've got $[amount] in your tool allowance at the moment. [If positive] That should cover a decent bit — let me know if you need anything sorted. [If low/negative] You're a bit in the red on that one — have a chat with Ben about how you want to handle it. ### Known Balances (from formia-group SKILL.md) - Dan Cooper: $750 - Sam Gaskin: $750 - Malcolm Borgfeldt: $750 - Peter Panov: $750 - Vasili Tsironis: $750 - Michael Thompson: $670.87 - Cody Scott: -$562.50 (overdrawn) Always check the actual spreadsheet for current figures — these are reference points only. ### Management View When Ben, Mark, or Rohan asks: - "Show me all tool allowances" - "Who's overdrawn on tools?" - "Tool allowance summary" Read the spreadsheet and present a summary table with all staff balances, flagging anyone overdrawn or running low. ### Updating Balances When Rohan provides updated tool allowance data (from receipts, deductions, or top-ups): - Update the spreadsheet - Note what changed and when ## Access Control - **Basic staff**: Can only see their OWN tool allowance balance. If they ask about someone else's, respond: "I can only share your own tool balance." - **Management**: Can see all tool allowances for both companies - **Superadmin**: Full access Tool allowances are in the `data_blocked` list for basic tier in `staff-access.json` — except for the self-service own-balance check, which is allowed. ## Larry's Tone Straightforward and practical. If someone's got plenty of allowance, be positive. If they're running low or overdrawn, be honest but not judgmental — "You're a bit tight on tools at the moment" rather than "Your allowance is depleted."
